About this policy
If you register on our websites as a supplier and provide us with personal data, we will process such personal data on the basis that it is necessary to do so in order to perform the contract you enter into with us.
Registration with and use of our websites for charities looking for products and services is free. We will process your personal data on the basis set out below as it is in our legitimate interests to do so following your registration.
What information do we collect about you?
We collect personal data about you when you register on our websites in order to provide you with the tech services that are available through our websites as well as for administrative purposes when you purchase products through our websites.
We collect personal information that you submit to us voluntarily:
- When you create an account, we will collect your name, the username and password that you choose, any email addresses you provide to us, and any other information you choose to associate with your account.
- When you enter any information, including Personal Information, into any posting or comments within the services, we will collect such information.
- When you respond to one of our surveys, we will collect any information contained in such survey responses.
- When you leave us feedback or request support, we will collect any information that is contained in your feedback or support request.
- When you contact us by sending us an email, we will collect your email address and any information contained in the email you send us.
In order to use some of our services, you may also be required to provide us with additional information about your organisation. Charity Digital retains this information so that it can track requests for services to completion, facilitate support requests and inform you of important changes to programmes that may affect your organisation.
If you decide to purchase any products through our websites, we may ask you for the details needed to process any payment that is required by the relevant third party course provider.
Product requests made through our site
Online selection and fulfilment services for products may be conducted either by us, corporate donors on www.charitydigitalexchange.org or by one of our third-party partners.
What do we do with your personal data?
We use personal information you submit to us to provide products to you, respond to requests you make, improve access to products and offer you additional information, opportunities, and functionality. We may also use your personal information to provide you with updates about the products.
We may create anonymised information reports from personal information by excluding any information that makes the data identifiable to you. We may use and disclose anonymous information at our discretion and without restriction.
Disclosing information to third parties
We may disclose anonymised reports with our partners and donors. For example, we may share anonymous information about individual organisations where it is necessary to ensure the continued availability of our services or to develop outreach programmes with our partners.
If you request to purchase a product directly on our websites, we may share your personal information with the company that supplies that product in order to fulfil the transaction. These individual records include the organisation and contact information you provide. We may also share your information with data processors that assist us in providing you with products and services, such as payment processing services.
Data storage and transfers
Your personal data is stored on servers in the European Economic Area (EEA). If we share your personal data with any third-party service provider in the course of providing you with our services, those third parties are required to process your data in accordance with contracts which comply with current European data-protection legislation.
Access to your information and correction

We want to make sure that your information is accurate and up to date and are very happy to remove or amend any information that you think is inaccurate. If you would like to change any of your personal information, you can use the Edit My Profile link from your My Account area on charitydigitalexchange.org or you can send a request to change, correct, or remove information to firstname.lastname@example.org.
If you would like to change any of the information contained in an organisation record held by Charity Digital, you may do so by contacting the customer service team. You will first be required to log into the charitydigitalexchange.org website to verify your authority to make any changes. If you experience difficulty altering the organisation profile, you should contact Charity Digital support by emailing email@example.com.
Deleting your account
We aim to provide your charity with useful resources and offerings for as long as you work for it. However, you have the right to close your account at any time and have us delete all of your personal information unless we are in the process of responding to any complaint that you make. If you would like to do so, please email firstname.lastname@example.org.
Any such cancellation of your account may involve deletion of your personal information from our databases. We will not be liable to you for any termination of your account or related deletion of your information.
Note that in some cases, you may request that we delete your personal information, but we may be required (by law or otherwise) to keep this information and not delete it.
